Built inside a practice, not a pitch deck.
IntakeFlow began as an internal tool at a New Jersey therapy practice, written to stop the intake inbox from being the founder's night job. Colleagues asked to use it. Making it safe enough to share with other practices — encryption per practice, an audit trail, a Business Associate Agreement — is what turned it into a service.
A few things we won’t compromise on.
Their words are not our data
Every email and every detail pulled from it is encrypted with a key unique to your practice. Nothing your clients write is ever used to train an AI — ours or anyone else’s.
Every touch is recorded
Each time the system reads, decrypts, or sends something on your behalf, it writes an audit entry you can review. No silent access, by us or by the software.
A crisis is never routine
Messages that signal someone may be in danger are routed with urgency, and the acknowledgement they receive always includes 988, 911, and the Crisis Text Line (text HOME to 741741).
Paperwork before PHI
We are a Business Associate under HIPAA. We sign a BAA with every practice before any client information flows, and every vendor that touches that information has signed one with us.
What IntakeFlow deliberately is not.
Not an EHR
We don’t hold treatment notes, session records, or billing. We handle the first email and hand you a clean summary — your records system stays yours.
Not a patient portal
Prospective clients never log into anything. They send an email the way they always have, and get a warm, human-sounding acknowledgement back from your practice’s own address.
Not a replacement for you
The software reads and organizes. A person — you or your intake coordinator — still decides who to call, when, and what to say.
A small team in New Jersey.
IntakeFlow is built and operated by EMHNJ d/b/a IntakeFlow, founded by Anthony Tulino. When you write to us, a person replies — the same person who is on call for the service.
